Once done, the app will be able to access the specified resources for all users in the tenant (for whom the app is permitted). Users will no longer be prompted to individually consent.

Youkeeps does not require its own registration; it uses Microsoft registrations (SSO) based on the user's implicit consent, and users can also access via a unique link.

If you're the organizer:

How does Youkeeps reschedule meetings?

If you're the organizer:
The assistant will confirm the existing meeting details and ask if you'd like to make any changes.
Youkeeps can launch a new round of availability voting with additional time slots to find the most convenient option for everyone.
If you're an invitee:
You can't initiate a reschedule, but you can notify Youkeeps that the proposed time doesn't work for you.

Do all meeting participants need to have Youkeeps?

No. Only the organizer needs to have a Youkeeps subscription. Invitees can interact through the invitation link or email without installation or registration.

If both parties use Youkeeps, will it help to schedule easier?

Yes. When both participants use Youkeeps, coordination becomes much faster — the agent automatically considers everyone's availability and only asks for final confirmation within the messenger.

How does Youkeeps handle declined time slots?

If an invitee declines all proposed time slots (via link or messenger), Youkeeps notifies the organizer and suggests adding more options.
If no alternatives are provided, the assistant offers the invitee to be marked as "Maybe," allowing flexibility for joining if schedules change.

Do I need to set meeting priority manually?

If a meeting is high-priority, simply tell Youkeeps agent:

Free for attendees. Pro is $12 per user per month for people who coordinate scheduling; it includes automatic scheduling, multi-participant coordination, rescheduling, free/busy checks, and time-zone handling. Only organizers need Pro; invitees can respond via link or use the Free plan.
For Teams, purchase through Microsoft AppSource (includes a 1-month trial) and manage seats or cancellation in your Microsoft 365 Admin Center.

What are the pricing plans?

We offer two simple plans:
Free plan:
Includes receiving invitations, voting for available time slots, and getting calendar notifications. Ideal for team members who mostly attend meetings.
Pro plan — $12 per user/month:
Unlocks full functionality, including automatic scheduling, rescheduling, multi-participant coordination, and smart prioritization.
Many companies combine both plans — using the Free plan for most employees and the Pro plan for those who actively coordinate meetings across teams or departments.

How does Youkeeps billing work?

The Free plan has no charges and doesn't require any card details.
Billing is handled through Microsoft Marketplace:
Organizations pay via their Microsoft 365 account ($12 per user/month), the payment can be charged from the corporate bill details or a personal credit card.
Payments go to Youkeeps Global Solutions, Inc. through Microsoft.
For Slack and Telegram the payment goes via Google Marketplace, invoices are issued via Stripe by Youkeeps Global Solutions, Inc.

How can I cancel or refund my subscription?

How do you protect my data?

We host on Microsoft Azure, encrypt data, and keep only what's needed to coordinate a meeting. Temporary scheduling details are deleted after coordination; for fixed-date meetings, nothing is stored.
Minimal retention: participant emails, time slots, and meeting metadata are kept only during coordination, then removed.
Encryption and controls: encryption in transit and at rest with Microsoft 365–aligned security practices.
Compliance: alignment with ISO 27001, SOC 2, and GDPR/CCPA requirements.
Data residency & redundancy: Azure regions in the EU and US with redundant hosting.

Voting and scheduling links don't require registration.

Where is my data hosted?

In Microsoft Azure, with redundancy across EU and US data centers. Data resides in those regions and is kept only for the time needed to coordinate scheduling. On-premises hosting isn't supported at the moment.

How does Youkeeps ensure secure hosting in Microsoft Azure?

Redundancy by hosting in two different Microsoft data centers (EU and US). Hosting in Microsoft Azure means profiting from default compliance and security controls (Azure CIS, SOC TSP, ISO 27001 etc.).

What data does Youkeeps store?

Only temporary scheduling data for group meetings — such as participant emails, time slots, and meeting details.
All data is deleted once the meeting is confirmed.
For fixed-date meetings, nothing is stored.

Where are Youkeeps conversations stored?

All data is hosted securely in Microsoft Azure, following Microsoft 365 compliance standards.
Conversations are encrypted and anonymous, and emails or time slot data are automatically deleted once scheduling is completed.

Permissions & Admin

What permissions does Youkeeps request and why?

Youkeeps requests:
Calendar (read/write) — to check and update meeting slots
Email (send) — to send invitations on the user's behalf. The invitees will receive invitations directly from the organizer emails.
Contacts (read) — to identify participants.
These permissions apply only to the Teams agent and are required for meeting coordination.

What permissions does Youkeeps need to operate?

Flexible Permission Strategy:
Youkeeps supports flexible onboarding strategies — organizations can grant all required permissions upfront for a streamlined start, or enable them one by one, confirming functionality and privacy at each stage. This approach is designed to align with various IT security requirements and enterprise change management processes.
Have full access to users' calendars — Allows Youkeeps to modify a user's calendar on their behalf (e.g., adding new meetings or adjusting existing ones), respecting their permissions.
Send mail as a user — Allows Youkeeps to send mail as the signed-in user, like forwarding meeting reminders through their account in real time.
Maintain access to data you have given it access to — Lets Youkeeps maintain access between user sessions — critical for long-running tasks like updating schedules overnight or after token expiry.
Read users' relevant people lists — Allows reading a user's relevant people/contact list, enabling Youkeeps to suggest meeting participants or personalize interactions.

I installed Youkeeps, but it says admin approval is required. What should I do?

Usually, no special permissions are needed.
